It&#8217;s a valuable tool if you use the same layout and design on your labels but want different text, numbers, or colors on each label. In the step-by-step below we show you how to create variable product labels using<a href=\"\/software\/design-and-print\/\" target=\"_blank\" rel=\"noreferrer noopener\"> Avery Design &amp; Print <\/a>and our <a href=\"\/custom-printing\/\" target=\"_blank\" rel=\"noreferrer noopener\">custom printed labels<\/a>, <a href=\"\/blank\/\" target=\"_blank\" rel=\"noreferrer noopener\">printable blank labels<\/a> or our <a href=\"\/products\/labels\/usage\/all-labels\" target=\"_blank\" rel=\"noreferrer noopener\">in-store retail packs<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-exactly-are-variable-data-labels\">What exactly are variable data labels?<\/h2>\n\n\n\n<p>When most people think of variable data printing, they think of address labels and <a href=\"\/blog\/take-the-mystery-out-of-mail-merge\/\">mail merge<\/a>, <a href=\"\/blog\/how-to-create-your-own-barcodes\/\" target=\"_blank\" rel=\"noreferrer noopener\">barcodes<\/a>, and<a href=\"\/blog\/what-is-a-qr-code\/\"> QR codes<\/a>. In fact, Avery offers a <a href=\"\/software\/barcode-generator\/\" target=\"_blank\" rel=\"noreferrer noopener\">free barcode generator<\/a> if you need barcode or QR code labels. But you can also use variable data printing to change elements of your <a href=\"\/blog\/how-to-make-your-own-product-labels\/\" target=\"_blank\" rel=\"noreferrer noopener\">product labels<\/a> without changing the entire design. It&#8217;s different than having several label designs that would print from individual digital files for each piece of artwork. With variable data printing, the digital artwork file is used along with a spreadsheet to load your variable data into the correct sections on your labels.<\/p>\n\n\n\n<p>The two basic components of variable printing are the document (label) you will be merging data into and the data source that you will be importing the data from. The mail merge function imports information from a data source, which is almost always a spreadsheet, and automatically organizes the data into a specific layout. Follow the steps below to create your variable data labels.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-1-arrange-your-data-properly\">1. Arrange your data properly<\/h3>\n\n\n\n<p>Make sure your data is arranged in columns on your spreadsheet or data file. For instance, one column would be for your flavor, one for net weight, one for ingredients, etc. Be sure this information is on Sheet 1 of your spreadsheet.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-2-open-your-label-template-in-avery-design-amp-print\">2. Create your master design<\/h3>\n\n\n\n<p>If you are using a blank template, upload your artwork using the <strong>Image<\/strong> tool on the left to begin customizing. Choose the rows &amp; columns for variable printing<\/h3>\n\n\n\n<p>Be sure to uncheck the top row if it contains column headers or it will print on a label.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-large\"><img decoding=\"async\" src=\"  https:\/\/img.avery.com\/f_auto,c_scale,w_700\/web\/blog\/blog-variabledata-img5_1\" alt=\"Choose the rows and data you want to print\"\/><\/figure>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-7-drag-amp-drop-or-double-click-field-names\">7. Drag &amp; drop or double-click field names<\/h3>\n\n\n\n<p>Double-click or drag and drop data that you want to appear in the first text box from the <strong>Available Fields<\/strong> on the left to the <strong>Arrange Fields<\/strong> box on the right, which represents the text box of your item. (You&#8217;ll be able to format your text later.) <\/p>\n\n\n\n<p>Click <strong>Next<\/strong> and then <strong>Finish<\/strong>. This will return you to the <strong>Customize<\/strong> screen where you can make formatting changes. The software will automatically add additional sheets to include all of your rows of data.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-large is-resized\"><img decoding=\"async\" src=\"  https:\/\/img.avery.com\/f_auto,c_scale,w_700\/web\/blog\/blog-variabledata-img6_1\" alt=\"drag and drop your variable data into the proper fields\" style=\"width:700px;height:518px\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-8-merge-to-other-text-boxes\">8. Merge to other text boxes<\/h3>\n\n\n\n<p>To add variable data to the next text box on your label, click on that text box and click <strong>Import Data\/Mail Merge<\/strong> on the left. Your spreadsheet will already be selected, so you can choose <strong>View Merge Fields<\/strong> and drag the next field that you want into the text box you\u2019ve selected. Repeat for any additional text boxes.&nbsp;Note that if your variable data is all going into one text box, you can skip this step.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-large\"><img decoding=\"async\" src=\"  https:\/\/img.avery.com\/f_auto,c_scale,w_700\/web\/blog\/blog-variabledata-img7_1\" alt=\"Arrange the fields for your variable printing\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-9-format-your-labels\">9.  Format your labels<\/h3>\n\n\n\n<p>You can make more design changes to your labels if needed.&nbsp; Just keep in mind that any changes you make will appear on all items unless you switch to the&nbsp;<strong>Edit One<\/strong>&nbsp;tab in the navigator on the right side of your design screen.<\/p>\n\n\n\n<p>A good idea is to make your formatting changes first using&nbsp;<strong>Edit All<\/strong>, then switch to&nbsp;<strong>Edit One<\/strong>&nbsp;to personalize text and images on individual items.
