Manage Your Large-Scale Mailing with Ease
Ever been in charge of a large-scale mailing project? You have to manage different mailing lists, sometimes with duplicate names, and you have just a couple of days to get that stack in the mail. Large-scale mailings can seem daunting, but don’t despair. 1. Make a list. Assemble all names and addresses into one consolidated list using a program such as Microsoft® Excel®, Outlook®, Access®, or Word. If you don't have a spreadsheet with all of your names and addresses, you can start with our pre-formatted files for Microsoft® Excel or other database programs. The simple investment you put into compiling your list now will be worth the time and effort you save doing your mailings in the future.

2. Clean up the list. Check the list over for redundant names, check ZIP Codes to make sure they are accurate, and make sure your addressing format is consistent. Having a clean, accurate list will help you avoid wasting postage.

Mailing Tips

Now that you’ve gotten the knack for creating mailing labels, check out these mailing tips to help you manage your large-scale mailing without a hitch:

- There are many good mailing software programs out there, but you may already have a tool on your desktop that can help you create a mailing list. Microsoft® Excel®, Outlook®, Access®, and Word are all worth considering.

- The U.S. Postal Service® recommends using the two-letter state abbreviations instead of writing out state names. In addition, there's no need for a comma after the city when you address your mail.

- Why waste postage on undeliverable mail? If you feel your mailing list may be out-of-date, run your list through NCOA (National Change of Address) software. This service is provided by vendors that are certified and licensed by the U.S. Postal Service®. Although there are fees involved, the benefit of having a clean mailing list is well worth it.
